PROFESSIONAL NATURAL DIAMOND GUIDE

What to Include in a Diamond Sourcing Brief

A good sourcing brief turns a broad request into an actionable search. Include the decision-critical details first, then identify which variables can move.

Why the brief matters

A request such as 'one-carat natural diamond' leaves too many variables open. The supplier cannot know the required shape, measurements, quality range, GIA grading-report details, budget or deadline. A structured brief speeds up the first response and improves the relevance of each option.

The brief should be detailed enough to guide the search without becoming so rigid that viable alternatives are excluded. Separate non-negotiable criteria from preferences.

Core diamond specifications

Include shape, carat target or range, color, clarity, cut grade for round brilliants, polish, symmetry and fluorescence. For fancy shapes, add preferred length-to-width ratio, minimum measurements and any outline preferences. If the setting already exists, provide exact dimensional constraints.

Documentation and visual review

Every diamond sold is accompanied by a GIA grading report. Ask for the report number, measurements and media needed for a preliminary review. A grading report records information for the submitted stone and should be reviewed together with the diamond.

Quantity and matching

Specify whether you need one diamond, a pair, a layout, a repeated size or a bulk parcel. For matching requests, define which characteristics must align and the acceptable tolerance. A parcel request should also state the allowed distribution across weights and grades.

Commercial parameters

Provide the target budget, currency, delivery destination and required timing. If the budget has flexibility, explain which characteristics may change first. Buyers often receive more useful options when they rank trade-offs instead of presenting an impossible combination as fixed.
